WHO you are / What we’re looking for

You are a highly organized, detail-oriented professional with excellent customer service skills. You thrive in fast-paced medical office settings, communicate effectively both verbally and in writing, and are proficient in Microsoft Office, Adobe Acrobat, and Electronic Health Record (EHR) systems. You have a High School Diploma or GED and at least 2 years of experience in customer-facing roles. You are committed to providing exceptional patient experiences while supporting the operational needs of the practice.

HOW you will contribute / Key responsibilities

  • Greet patients warmly, in-person and over the phone, creating a positive first impression.

  • Answer incoming calls, take detailed messages, and transfer calls to the appropriate team member.

  • Schedule patient appointments and verify insurance eligibility during scheduling.

  • Provide coverage for the Front Desk Receptionist as needed.

  • Check in new patients, update existing patient demographics, and ensure all forms are completed, signed, and dated.

  • Collect co-pays and outstanding balances, providing receipts as necessary.

  • Facilitate patient flow by notifying the appropriate Medical Assistant of patient arrivals.

  • Communicate patient issues (delays, no-shows, concerns) effectively to the care team.

  • Maintain a clean and organized workspace.

  • Adhere to professional standards, policies, procedures, and regulatory requirements (OSHA, HIPAA).

  • Support the mission, vision, and values of the organization through your actions and behavior.

  • Perform other duties as assigned to support smooth office operations.

Qualifications & Requirements

  • High School Diploma or GED

  • Minimum 2 years of customer service experience

  • Excellent oral and written communication skills

  • Highly organized and detail-oriented

  • Strong problem-solving abilities

  • Exceptional patient satisfaction skills

  • Competent in Microsoft Office, Adobe Acrobat, EHR systems

Work Environment & Physical Requirements

  • Professional office environment

  • Must be able to sit for extended periods and lift/carry up to 10 lbs
