PriMMed is seeking a high-performing Office Supervisor to lead our clinic operations and ensure patients receive efficient, compassionate, and high-quality care. This role is ideal for a strong operational leader who thrives in a fast-paced healthcare environment and enjoys developing teams, improving systems, and supporting providers.

You will serve as the operational backbone of the clinic, ensuring the front office, administrative operations, and clinical coordination run smoothly every day.

Mission of the Role

The Office Supervisor ensures daily clinic operations run efficiently while maintaining excellent patient experiences, strong team performance, and compliance with healthcare regulations.

This role connects providers, administrative staff, and leadership, helping the clinic operate as one aligned team.

Outcomes (What Success Looks Like)

Within the first 12 months, the Office Supervisor will:

1. Maintain Smooth Daily Clinic Operations
  • Ensure front office, scheduling, check-in/check-out, and patient flow operate efficiently every day
  • Resolve workflow issues quickly and escalate appropriately

2. Lead and Support High-Performing Staff
  • Maintain consistent staffing coverage and clear scheduling
  • Coach administrative staff to meet performance and service standards

3. Deliver Excellent Patient Experience
  • Maintain a welcoming and professional clinic environment
  • Address patient concerns promptly and improve service recovery processes
4. Strengthen Operational Coordination
  • Improve communication between providers, administrative staff, and leadership
  • Ensure clinic schedules align with patient volume and provider availability

5. Maintain Compliance and Operational Standards
  • Ensure adherence to HIPAA, OSHA, and internal policies
  • Support clinic audits, documentation, and regulatory requirements

Qualifications

  • Bachelor’s degree in Healthcare Administration, Business, or related field (preferred)
  • Minimum 3 years of medical office management or supervisory experience
  • Experience with eClinicalWorks (eCW) or similar EMR systems
  • Familiarity with pain management procedures and terminology preferred
  • Strong organizational, leadership, and communication skills
