Position Summary
The Medical Office Specialist oversees both check-in and check-out coordination, ensuring each patient receives a seamless, welcoming, and elevated experience from arrival through follow-up.
As the first and last point of contact, this role supports:
- patient education
- scheduling coordination
- documentation accuracy
- payment collection
- procedure preparation
- in-clinic marketing support
Success in this position requires strong ownership of the entire patient journey — from initial inquiry through treatment completion.
Regenerative medicine experience is required.
Cash-based practice experience is strongly preferred.

What You Will Do
Patient Experience & Front Desk Operations
- Welcome patients promptly with professionalism and warmth
- Verify and update patient demographics in the EHR
- Ensure intake and consent documentation is complete
- Notify clinical staff of patient arrival
- Maintain a polished, high-end lobby environment
- Open and close the front office daily
Scheduling & Care Coordination
- Schedule consultations, procedures, and follow-up visits
- Coordinate treatment timelines with providers and patients
- Review provider documentation to confirm next steps
- Support patient flow in a concierge-style environment
- Actively manage patient progression through treatment plans
- Ensure follow-through at every patient touchpoint
Financial Coordination (Self-Pay Practice)
- Clearly explain treatment pricing and payment expectations
- Collect and process payments accurately
- Provide receipts and documentation as needed
- Maintain professionalism and transparency when discussing fees
Administrative & Clinical Support
- Scan and upload documentation into eClinicalWorks (eCW)
- Prepare procedure paperwork and consent forms
- Update Salesforce and Leading Reach daily
- Process incoming mail and administrative correspondence
- Maintain refreshments and front-office presentation standards
- Support in-clinic marketing initiatives and patient engagement efforts
Compliance & Professional Standards
- Maintain strict HIPAA compliance
- Coordinate communication between patients and clinical staff
- Uphold CELLAXYS service standards and mission-driven culture
- Support additional responsibilities as assigned by leadership
Required Qualifications
- High School Diploma or equivalent
- Minimum 1 year medical office experience
- Regenerative medicine experience (required)
- Experience in a cash-based/self-pay practice (preferred)
- Familiarity with medical terminology and HIPAA standards
- Experience with eClinicalWorks (preferred)
- Strong communication and patient service skills
- Excellent attention to detail and multitasking ability
- Professional demeanor and reliability
- Bilingual skills are a plus
